Booking Terms and Conditions

 

Please read carefully

AdventureArmenia  (The Company) accepts bookings subject to the following conditions:

HOLIDAY CONTRACT

Below are the details of the terms and conditions of the booking agreement. The contract including all matters arising from it is subject to Armenian law. Please read them carefully. When you make a booking and we accept it, a legally binding contract is made. When you sign a booking form or fill one in online, you (and any other person on whose behalf you book) agree to accept all of these conditions; you acknowledge that you have read the relevant trip dossier and the General Information. You also warrant that the information given by you on the booking form is complete and true. A contract will exist as soon as we issue our confirmation invoice. Note that we will not issue a confirmation invoice, and therefore no contract will exist, until we receive a fully-completed booking form for each and every member of any party.

1. To secure the booking

To secure a booking, the Company must receive payment of the deposit of EUR 50 per person paid by Visa/MasterCard or bank transfer (or full payment if booking within 30 days of the start of tour). Special conditions apply to certain tours, we will advise on these special conditions where necessary.

All clients (including anyone who is added or substituted at a later date), whether booking in person, by telephone, via our websites, by e-mail or by any other means, will be deemed to have agreed to the following three conditions:

a. they have read and accepted our booking conditions and general information pages contained on our website

b. they appreciate and accept the risks involved in adventure travel

c. the person making the booking warrants that he/she is at least 18 years old and has full authority to enter into a contract on the basis of these conditions on behalf of all persons named on the booking and confirms that all such persons are fully aware of and accept these conditions.

A booking is accepted and becomes definite only from the date when the Company sends a confirmation letter to the client who makes the booking. It is at this point that a contract between the Company and the client comes into existence.

2. Your Holiday Price

The balance of all monies due must be received by the Company not later than 30 days before the start of tour. Special conditions apply to certain tours, we will advise on these special conditions where necessary. In the case of non-payment of the balance by the due date, the Company reserves the right to treat the booking as cancelled and cancellation charges will apply. You can pay the remaining balance by bank transfer or by cash.

3. Liability

Booking is accepted on the understanding that you realize and accept the risks and hazards potentially involved in adventure holidays and that you are mentally and physically capable of undertaking your chosen trip. You must tell us if you have an existing medical condition or disability that might affect your holiday or other group members’ enjoyment of it, before you book your holiday. If, in our reasonable opinion, your chosen holiday is not suitable for your medical condition or disability we reserve the right to refuse your booking. If you are unable, or choose not to complete an itinerary outlined for a holiday, the Company is not liable to supply alternative itineraries, excursions, accommodations, services or staff for the period when the client is not present with the group. The Company is liable for the negligence of its employees and suppliers when they are acting in the scope of their employment or in the provision of the travel arrangements. The company is not liable for any failures that occur in the performance of the travel arrangements which are attributable to the consumer, or attributable to a third party unconnected with the provision of the services and unforeseeable or unavoidable, or are due to unusual and unforeseeable circumstances beyond the control of the company which could not have been avoided even if all due care had been exercised.

4. Optional Activities

Optional activities, excursions or other tours that you may choose to book or pay for whilst you are on holiday are not part of your package holiday provided by us. For any optional activity, excursion, or other tour that you book, your contract will be with the operator of the activity, excursion or tour and not with us. We are not responsible for the provision of the activity, excursion or tour or for anything that happens during the course of its provision by the operator.

5. Cancellation by the Client

You, or any member of your party, may cancel your travel arrangements at any time.  Written notification from the person who made the booking or your travel agent on your behalf must be received at our office.  Cancellation charges as shown below will be applicable.

30 days and more prior to departure – retention of deposit

29 – 15 days prior to departure – 45% of total tour price

14 – Departure day – 100% of total tour price.

Special conditions apply to certain tours, we will advise on these special conditions where necessary.

6. Force Majeure

We will not pay you compensation if we have to cancel or change your travel arrangements in any way because of war, riot, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions or other unforeseen circumstances that may amount to force majeure.

7. If You Have Complaint

If you have a problem during your holiday, you must inform your tour leader who will endeavor to put things right. If your complaint is not resolved locally, please follow this up within 25 days of your return home by writing to us giving your booking reference and all other relevant information. Please keep your letter concise and to the point. This will assist us to quickly identify your concerns and speed up our response to you.The Company will pay no compensation if there has been no fault on the part of the Company, if the reason for the failure was the Client’s fault or someone unconnected with the Company, or if the circumstances could not have been reasonably foreseen or avoided by the Company. It is strongly suggested that you communicate any complaint to your tour leader without delay and complete a report from whilst on the tour. If you fail to follow this simple procedure we will have been deprived of the opportunity to investigate and rectify your complaint during your holiday and this may affect your rights under this contract.

8. If You Change or Transfer Booking

If you wish to transfer your booking to a different holiday or traveler, you should contact us before the final balance is due for your existing holiday. The transfer fee is normally 50EUR per person but can be higher depending on the trip.

9. Passports, visas, and Immigration Requirements

Your specific passport and visa requirements, and other immigration requirements are your responsibility and you should confirm these with the relevant Embassies and/or Consulates. We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements. In some cases, full and correct passport information is required when a booking is submitted to us in order that we can obtain necessary tickets, permits and visas on your behalf. If you do not supply the appropriate and correct information when you make your booking, we will not be able to make the necessary bookings on your behalf and cannot be held responsible.

10. Your financial security

To ensure your holiday arrangements are fully protected, all money received as payment for your trip is immediately deposited in the Clients’ Account. Your money remains there until your holiday is completed or the services comprising your holiday have been paid for by us. So you can relax and enjoy your holiday as your money is safeguarded.
It is important to us that you are happy with your tour and that you understand the nature of our tours. We would, therefore, ask that you take a few minutes to read these booking conditions and if you need clarification on any point please do not hesitate to contact us.
